Role Snapshot
Research and resolve complex mail questions. Assist in preparation of various statistical reports. Answer questions, provide training, and assist employees with work-related issues for WPS lines of business or contracts. Coordinate work activities within unit.
In this role you will:
- Accumulate data for supervisor to prepare daily, weekly, and monthly reports.
- Update departmental data using Excel.
- Assist supervisor in monitoring, coordinating, and assigning work in mail, scanning and OCR areas.
- Respond to questions related to job tasks from employees and clients
- Maintain up-to-date knowledge of all aspects of Clerk III, Clerk IV, OCR I, Data Entry Specialist and Claims Entry positions.
- Update procedures and manuals
- Train new employees and provide follow-up training.
- Perform audits and document results.
- Train new employees, as well as assess unusual circumstance and variations in approach, often with incomplete or conflicting data.
- Ensure timely, accurate, and reliable deliverables for all lines of business and contracts.
- Assist with controlling inventories by performing all aspects of Clerk III, Clerk IV, OCR 1, Data Entry Specialist and Claims Entry positions when needed.
- Meet departmental requirements for quality based on weekly audits and quantity performance.
- Sort departmental returns.
- Perform basic maintenance on automated mail opening equipment.
- Deliver sorted/prepped buckets of documents, utilizing carts as needed.
- Ensure continuous production in the absence of a supervisor.
- Upload CDs to the various contracts using established procedures.
- Remove incorrectly imaged claims using appropriate computer programs and commands.
- Carry out diverse directions with limited supervision to resolve issues in accordance with accepted practices.
- Utilize sound judgment in interpreting guidelines for application to specific cases or problems and suggest new methods or changes in procedures.
- Maintain internal contact with staff in unit and other departments to expedite incoming and outgoing documents, provide and obtain information, and assist in training of staff.
- Occasional warehouse work.
- Maintain daily workflows, deliver accurate and reliable work.

Minimum Qualifications
- U.S. citizenship is required for this position due to U.S. Department of Defense restrictions.
- High school diploma or equivalent
- One (1) year in Claims Sort/Mailroom, OCR, or Imaging.
- In-depth knowledge of claims sort procedures, system programs, mailroom workflows, OCR keying procedures, document handling guidelines for multiple divisions and program requirements.
- Demonstrated leadership skills and ability to coach or mentor other employees.
- Ability to learn tasks and procedures performed within the unit and how functions impact other departments and divisions.
- Must live within vicinity of Madison, WI campus location
Preferred Qualifications
- Two (2) or more years of OCR Operator experience or equivalent.
- Ability to transport materials weighing up to 50lbs on occasion
- Ability to transport materials, using proper equipment, weighing up to 200 lbs.
Additional Information
- Start Date: 9/18/2023
- Starting Base Salary: $18/hour
- Training Location/Schedule:
- Week 1-8 - Onsite (Required)- Monday-Friday 8am-4:30pm CST
- All Onsite training will take place at the WPS Tradewinds Building located at 5049 Tradewinds Parkway Madison, WI 53718
- Scheduled Shift: Flexible schedule once trained, 8-hours shifts between 6am-4:30pm
