USA Payroll Manager
Job Description
The Payroll Manager will oversee and supervise the organization’s payroll functions, ensuring pay is processed on time, accurately, and in compliance with government regulations
What you'll be doing:
- Payroll Administration for 560+ employees across USA
- Manage and develop the team of 2 payroll professionals, setting the direction, goals and driving accountability
- Manage workflow and processing of bi-weekly/ Semi-monthly multistate payrolls
- Fully audit and reconcile payroll in workday, ADP, Paylocity and Paychex, validate accuracy and completion of data prior to transmission
- Experience filing payroll tax returns at the federal, state, and local levels
- Research, prepare responses related to the payroll tax correspondence received from tax authorities
- Maintain payroll and HRIS information and control input of data to ensure accuracy and data integrity required for internal and external audit and reporting purposes
- Develop procedures to ensure all payments, notifications, deductions, filings, and reimbursements are paid and tracked
- Serve as the point of contact for payroll matters ensuring that cases are resolved as quickly as possible with a focus on providing superior customer service
- Promptly execute all post-processing audits to validate payroll accuracy and make any necessary adjustments with the goal of an error-free payroll.
- Collaborate with Finance reconciling payroll general ledger files to bank statements and reviewing the accuracy of payroll deductions to payroll output documents
- Develop processes to ensure timely review and approval of hourly employee electronic timecards and reduce overtime cost
- Work closely with Benefits Team to ensure accurate benefit deductions and record keeping
- Own legal compliance related to payroll, year-end and EEO filings, taxes, and benefits deductions
- Partner with the payroll providers to understand tax requirements for new jurisdictions, changes in wage and tax laws, and other regulatory changes that may impact the company payroll and solve any payroll related issues
- Coordinate monthly financial reporting process as it relates to payroll related items
- Manage all required payroll records and ensure information is filed in a secured confidential area and archived in accordance with retention policies
- Support the annual administration of merit increases, corporate bonuses, and retroactive payment calculations
- Establish policies, procedures, and controls to ensure federal/state/local tax and Sarbanes Oxley (SOX) compliance
- Record, maintain and update payroll procedures
- Provide training on Time and Payroll system functionality, changes, and updates
- All other duties or projects as assigned
What you'll be bringing to the team:
- Bachelor’s degree in business, finance, accounting, computer science or related field.
- Payroll professional certifications such as the FPC/CPP are strongly desired
- Experience in a supervisor/lead capacity with progressively increasing responsibilities
- Project Management experience in multisite environment
- Workday Payroll
- Expert knowledge and understanding of payroll systems: Workday Payroll, ADP, Paylocity and Paychex
- Knowledge of U. S. Payroll laws, regulations, and requirements
- Mastery in MS Excel required
- Strong analytical and problem-solving skills
- Ability to meet project deadlines and prioritize tasks
- Ability to see the big picture but not afraid to roll up your sleeves to help deliver best in class service
- High integrity and business ethics
- Excellent communication and interpersonal skills
- Ability to communicate technical information to non-technical users
