Events & Venue team reporting to Venue Manager

Do you enjoy creating the magic behind the scenes of amazing events and experiences?! Capital Factory puts on some of the most memorable parties and events in Austin, and the Venue Coordinator assists the team making it all happen. Support of events includes setup, event management, takedown and cleanup of group meetings. The Venue Coordinator may also be needed to support the Front Desk in the evening or during the weekends from time to time.

What you will do

  • Be an integral part of supporting, managing, and running Capital Factory events
  • Assist the Venue Manager in ongoing Capital Factory and inbound client events
  • Ensure that Capital Factory events run smoothly
  • Oversee internal and external client events and support events inbound from the Partnerships team, Directors, etc.
  • You will be expected to be in the office for in person events to help setup and breakdown (might be outside regular office hours, as parties often are!)

You'll know you're successful if

  • Project manage multiple events (both online and in-person) simultaneously, coordinating and tracking all event logistics and deliverables from inception through completion.
  • Collaborate cross-functionally with internal teams to maintain strong working relationships to ensure events' progress and deliverables are completed on time.
  • Coordinate event marketing needs with the marketing team, including both outbound and inbound event communications, event website updates, and event registration.
  • Create and update event documentation, including event timelines, and related folders and documents.
  • Responsible for event budgets, including tracking expenses, to ensure the event stays within scope.
  • Actively seek ways to improve the event team's workflows and communication by documenting all processes and bringing new ideas to the table.
  • Other administrative projects and activities as needed.
  • You are able to push/pull/carry/lift up to 50 pounds with or without assistance (there's a lot of furniture to be moved around!)

  • You are a leader and you're comfortable speaking up and escalating a situation if needed.
  • You are outgoing and can talk to just about anyone.
  • You are tech savvy and comfortable with learning and exploring new virtual platforms.
  • You are comfortable with the Google Apps suite of products. You're eager to learn about new tools and ways to be more productive.
  • You work well in a fast-paced, ever-changing environment.
  • You're unfazeable. When everyone else is getting stressed or excited, you keep your cool.
  • You check your email on the weekend and are available to work during evening events and over the weekends when there is a tight deadline. You do what it takes to get the job done.
  • You are organized and plan ahead, but you don't get stressed out when things change at the last minute.
  • You are available to to work at least 45 hours per week.
  • You are committed to working nights and weekends when needed. You do what it takes to get the job done.
