Job Summary

The ideal candidateย will have an eye to be at the center of our organizations day-to-day operations but also an ability to plan for our future. This candidate will directly manage two key operational functions to include the Meetings & Events, Speaker Bureau and Project Management departments. This individual will also oversee the functionality of our internal processes between departments, our project management platform (WorkFront) and manage expansion of these processes and resources to new teams as the agency continues to grow.

This person will work closely with a wide range of staff from senior team leaders to administrative staff to understand where new processes can be leveraged to insure efficient operations within the business. Some of this collaboration will also involve finance as this role will also influence reporting as we look at utilization, billing, budget templates and other items that have impact on resource planning and profitability. This is a great opportunity for someone who stays cool under pressure, loves to create efficiencies and is skilled at solving complex operational challenges in a rapid growth environment.

This role is considered hybrid because some limited presence may be required in the New York office. Majority of time will be work from home. Some minimal travel may be required for meetings in other CM offices.

Responsibilities
  • Develop and execute strong change management processes to support agency evolution and policy roll-outs especially as related to growth
  • Collaborate with team leads to ensure agency-wide initiatives are effectively communicated and executed at the team level
  • Respond to requests from leadership and build systems to mitigate issues in the future
  • Maintain an employee-centric mentality with the goal of creating process to solve challenges or address key friction points in the business
  • Work cross-functionally with CEO, Division Heads, Finance, HR, and other teams to successfully identify improvements, develop action plans and drive projects against deadlines
  • Eliminate redundancies and overly manual processes as possible, especially those with resourcing and financial impact
  • Plan, build and manage agency workflow management system and itโ€™s connection to our financial system (ERP) to ensure adequate reporting to all key stakeholders
  • Oversee team that organizes internal agency events and meetings
  • Support Merger & Acquisition integration Proactively manage team and individual performance including training and development
Job Requirements
  • Minimum of 10 years managing operations for a larger scale organization (100+ employees)
  • Experience in managing a multi-faceted team and collaborating with senior leadership
  • Strong category knowledge, strong history of establishing and growing customer relationships
  • Proven track record of effective priority and project management in a fast-paced environment
  • Superior problem solving and critical thinking skills
  • Strong writing and editing skills with a penchant for paring down and presenting information in a clear and succinct fashion
  • Strong collaboration skills and the ability to contribute within a team setting, including excellent interpersonal and communication skills
  • Ability to reinforce positive culture, empathy-led leadership style and an eye to making work more efficient for employees
  • Rapid responsiveness and ability to route inquiries effectively and proactively
  • Strong organizational skills and attention to detail
  • Ability to take initiative, maintain confidentiality and exercise discretion
  • Strong proficiency with MS Office, Workfront
  • Ability to travel ~5-10% to meet with other divisions within the medical communications business
  • Outgoing, friendly and approachable demeanor with an employee centric focus
  • Experience with M&A and integration is a plus
