ABOUT THE ROLEÂ
Peloton Studios New York is located in the heart of Manhattan West. The 36,000 foot space is a destination for members to meet our world class instructors and the Peloton community in person. On the other hand, we have our beautiful Peloton Studios - New York Office space up on the 3rd Floor equipped for all our business needs. The Studio Workplace will often be the first point of contact for our office team members and more importantly Third-Party vendors.Â
Peloton is seeking a Workplace Coordinator to join our team who has a background in maintenance & facilities, friendly customer service, and inventory management. The ideal candidate will be engaged and energized, responsible, positive, personable and able to adapt to change. We want someone who excels working in a fast paced environment, is organized, and a self starter. You should be able to work well independently and with others, contribute and communicate well to a welcoming and inclusive workplace, and be willing to learn. This person will enjoy building relationships, strives to go above and beyond, is able to deliver the highest level of experience, and ambitious about growth at Peloton!
YOUR DAILY IMPACT AT PELOTON
- Represent the Peloton brand by being knowledgeable of the space, interacting, and receiving feedback from our team members and vendorsÂ
- Welcome, greet, direct, and announce visitors in a friendly and professional manner
- Flexible to complete office duties and other Studio department duties, including facilities upkeep
- Perform and manage clerical and admin duties such as updating communication boards, filing, copying, and printingÂ
- Support and facilitate with Team Onboarding, Studio tours, office communications and ensure adherence to office guidelines and protocolsÂ
- Manage employee onboarding requests i.e uniform and keycard distribution.Â
- Access, manage, and distribute team members Uber and other employee benefit accounts
- Manage the workplace email, helpdesk and slack accounts by responding and forwarding messages as needed in a timely mannerÂ
- Communicate, assist and support Studio departments with projects as needed for the Studio, People and Workplace Teams.Â
- Manage, receive, sort, and restock orders and food/beverage inventoryÂ
- Plan, manage, communicate, and execute events such as team events like catering (breakfasts/lunches and happy hours,etc) and handle team Workplace calendarÂ
- Manage all matters relating to office furniture/equipment, desk assignments, and
- Ensure reception, waiting areas, meeting rooms and office space are tidy, well stocked and welcomingÂ
- Manage phone booth and conference room scheduling and room resets.Â
- Answer, screen and forward any incoming phone calls while providing detailed information.
- Pickup, store, manage capacity, and facilitate communication on all incoming and outgoing mail/packages from building mailroom to designated departments, including UPS and Fedex
- Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges, etc.).Â
- Support the core facilities team in managing and bidding out all long term, third party facilities contracts for the studio team including but limited to ADA Lift maintenance and annual testing, elevator maintenance, testing and record keeping, HVAC, electrical, plumbing and BMS contractÂ
- Manage, communicate, and bid out all office-related contracts including but not limited to COIs, HVAC, electrical, plumbing, BMS, janitorial, onsite pantry service, towel service, equipment maintenanceÂ
- Oversee the onsite budget as well as small capital projects such as furniture or building change ordersÂ
- Manage building requests including, freight schedules for all studio deliveries and visitorsÂ
YOU BRING TO PELOTON
- Able to work full time with flexible availability, including weekendsÂ
- Must have at least 2 years of experience in a office coordinating or similar positionÂ
- Must have great member support skills, show a positive, calm, and effective attitude and have high standards for cleaning and sanitation.Â
- Must have good time-management skills and be able to adapt to changes to scheduling and/or studio prioritiesÂ
- Ability to quickly learn and/or willing to learn new procedures, processes, and products to achieve resultsÂ
- Keen attention to detail and problem-solving skills, with the ability to quickly identify issues
- Able to work as a team player, as well as independently.Â
- Able to exercise discretion and judgmentÂ
- Proficient in MS Office and Google Workspace, strong verbal & written communication skillsÂ
- Ability to work under pressure, multitask, and communicate with a wide range of personalities, high-energy, and efficient team in a fast-paced environmentÂ
- Strong organizational, planning and prioritization skillsÂ
- Excellent with time management and multitasking, with the ability to work under pressure
