Maven is looking for a Workplace Coordinator to join the People team! As you will generally be the first person employees and guests meet at the office, you set the tone for the overall office experience. In this role you will be the point of contact for office operations and facilities, reception, and internal events.
The Workplace Coordinator role is a part-time and onsite position supporting in-office operations Monday-Thursday (32 hours/ week).Â
As our Workplace Coordinator at Maven, you will:
- Office ManagementÂ
- Oversee day-to-day office operations (general facilities, repairs, maintenance) and ensure the office is tidy, safe, and productive
- Manage all office ordering and stocking (catering, snacks, office supplies) and create an organized storage system
- Conduct site walks of entire office daily and look for areas to make improvements
- Be the point of contact for all vendors providing site services (building management, cleaning staff, building engineers, food/ beverage)
- Reception
- Provide building access for visitors and Mavens and greet visitors in a friendly and professional manner
- Receive and sort mail, packages, and other deliveries
- Answer questions and manage employee and guest requests
- Internal Events
- Independently plan and execute small to medium size internal company events (virtual, hybrid, in-person)
- Miscellaneous
- Proactively identify areas to improve the overall employee experience and support special projects as needed

- Organized, detail-oriented, and able to prioritize competing priorities in a fast paced environment
- Positive attitude and passion for building and managing an exceptional employee experience within the physical and virtual workplace
- Ability to creatively problem solve as issues arrive
- Strong customer service mindset
- Team player who is not afraid to roll up their sleeves to get things done
Helpful experiences and skills (if you don’t have them, you can learn them with us!):
- Proficient in Google Suite (calendar, drive, slides, sheets)Â
- Facilities or office management experience in a fast-paced, high growth environment
- Experience supporting both office-based and remote teammates
