Position Overview

The Workplace Manager will be based out of Autodesk's San Francisco office and responsible for making sure the assigned site(s) meet world class high company standards for organization, cleanliness, aesthetics and sustainable operations. You will proactively coordinate all day-to-day workplace operations, working directly with employees and cross functional stakeholders. You will serve as liaison for any building maintenance needs and manage a team of Workplace Coordinators.

The Workplace Events & Experience Manager is a highly visible role which demands extensive customer service skills and a high level of professionalism and ability to multi-task. The position will manage all workplace-related aspects of planning, customer interface, vendor management and resourcing for events in our San Francisco location. This position will report to the Senior Regional Workplace Manager and work in a team environment.

Responsibilities

  • Event Strategy: Collaborate with workplace team to develop event and experience strategies that include input from cross-functional teams and support the overall company's goals
  • Event Programming: Work with teams to ensure alignment and consistency as well as scalability of the overall events and experience program in San Francisco
  • Event Production: Obsessed with excellence, customer service and execution. Attention to detail, strong communication
  • Manage and lead all aspects of event strategy, planning and execution. Manage and lead all Workplace-related aspects of building and executing world class event strategy San Francisco
  • Direct internal Workplace staff needed for each event. Coordinate support functions such as janitorial and security
  • Attend events and direct internal staff during events
  • Develop and implement event & experience related playbooks, guidelines, standards, and best practices for customer facing, internal and cross functional teams usage
  • Work closely with the SF Gallery team in support of meetings and events. Create processes and procedures to ensure alignment on tasks
  • Interface regularly with Security team in support of events in the Gallery and throughout the building. Coordinate Security coverage for large/complex events
  • Create and update internal SharePoint site and provide guidelines and information to potential event/meeting planners
  • Act as primary liaison with building property managers; janitorial company; security staff
  • Create and publish weekly/monthly/quarterly master schedule
  • Create summary reports and track metrics of event details
  • Conduct pre-meeting briefings with internal event planners, admins, suppliers, and vendors as required
  • Manage supplier partners to ensure quality and timely delivery. Create RFP's when necessary
  • Develop and manage facility budget for each event or meeting
  • Track and pay vendor invoices
  • Conduct post-mortem meetings to discuss best practices and identify areas of improvement
  • Develop and maintain a network of event subcontractors and suppliers
  • Keep updated inventory of Workplace support event materials
  • Continue to pilot, innovate and look for ways to automate, scale and streamline event services

Minimum Qualifications

  • A minimum of 5+ years' experience of current, relative workplace and event management experience, including experience in hospitality and handling large and complex events
  • Minimum of 3 years of management experience, developing and managing employees
  • Advanced knowledge of Microsoft Office programs (Excel, PowerPoint, and Word). Working knowledge of SharePoint
  • Excellent verbal and written communication skills
  • Project Management experience a plus
  • Must have strong critical thinking skills, attention to detail, and a customer service attitude
  • Work well in a fast-paced environment and remain calm in a stressful situation
  • Ability to be self-motivated and work well in a team environment
  • Strong multi-tasking and prioritization skills are a must
  • Requires a flexible work schedule on an as needed basis
