The Job

We are seeking a Workplace Experience Receptionist, for a temporary position. You will be the face of Own Tel Aviv’s employee experience. You will embody our culture and be passionate about our employees' safety and well-being. You will also support other areas of the company as needed, applying your expertise to many different projects that require organization coordination, and strong communication skills to see through to completion. We are looking for an approachable and friendly personality who will thrive in our startup environment for our front-of-house. A can-do attitude and a strong customer service orientation are essential for this role. This position requires working from the office Sunday through Thursday, 8 am to 5 pm.

Your Day-to-Day Role

  • Manage the front desk, greet and register guests, and handle inquiries.
  • Order supplies, manage kitchen stock, and track inventory against the budget.
  • Ensure cleaning protocols are followed and direct the cleaning crew.
  • Plan and coordinate office events.
  • Manage office shipments and deliveries.
  • Assist with On/Off boarding processes.
  • Maintain high standards for a successful SaaS company.
  • Keep the office stocked with supplies and food/beverages.
  • Manage meeting rooms, order food, and supplies for meetings.
  • Help plan and execute on-premise events.
  • Liaise with building management for quick service resolution.
  • Ensure compliance with health and safety regulations.
  • Manage global shipments with onsite contacts.
  • Research and implement cost-effective strategies.
  • Manage employee expectations and suggestions for facility management.
  • Assist with ad hoc projects as needed.

Your Work Experience

  • At least 1 - 3 years of Proven experience in a customer-facing role, preferably in a receptionist, administrative, or front desk capacity, preferably from the Hi-Tech industry
  • Available to a full-time position at the office, on-site
  • Excellent Communication skills both in Hebrew and in English - written and speaking 
  • Proficiency with office software such as Google Suite (Docs, Sheets, Slides) and familiarity with office management software or tools (Salesforce is a plus). Basic troubleshooting skills for office technology are a plus
  • Experience or skills in organizing and coordinating events, meetings, or gatherings. This includes logistics planning, vendor management, and ensuring smooth execution of events.

  • Focused on the detail and able to multitask 
  • Organized and efficient to ensure that our office functions efficiently and nothing slips through the cracks
  • Bachelor's degree - Advantage

Important Details

This is a full-time position, with a commitment of 5 days a week in the office- a temporary position. The ideal candidate will work out of our Tel Aviv office to maximise collaboration and interaction with business.
