The Workplace Experiences Team is the face of Airtable and often the first point of contact for every person inside/outside of the organization (e.g. employees, vendors, partners, customers, etc). Based in San Francisco and reporting to our Head of Real Estate and Workplace Services, you will be the Workplace Manager of the Workplace Coordinators in our 6 offices (San Francisco Headquarters, Mountain View, Los Angeles, Austin, New York City, and London). The Workplace Coordinators are responsible for the day-to-day office operations and tasked with delivering an AMAZING employee experience to all Airtablets. This is a great opportunity for you to join a company that holds a high standard for employee satisfaction and help maintain and raise that bar!
What you'll do- Responsible for managing the Workplace Coordinators and the daily operations in our offices.
- Facilitate an amazing employee experience by:Â
- Serving as escalation point for the Workplace Team and Employees
- Oversee on-site vendors JaniKing (custodial) and Zerocater (food vendor)
- Monitor the Zendesk ticketing system ensuring we are responding to employee requests within the set SLA
- Workplace Operations
- Ensure standard operating procedures are created, documented and followed in all offices
- Execute Crisis Management Notifications via “SendWordNow” to impacted employees
- Create programs (e.g. Crisis Management, Evacuations, Opening/Closing Daily Office activities, etc.) that are universal and allow consistency.Â
- Manage building relationship with various landlords
- Manage relationships with IT, HR and other key internal stakeholders
- Manage SWAG program, as needed
- Team DevelopmentÂ
- Hiring and staffing.
- Training new employees and contingent workers.
- Coaching and developing existing employees.
- Supporting problem resolution and decision-making.
- Conducting weekly 1:1 with the Workplace Coordinators
- Completing bi-annual performance evaluations.
- You have 5+ experience creating and managing a Workplace Program and Team across multiple locations with a geographically dispersed team.
- You take pride in being helpful to others; extremely organized responsive; and have a customer service mindset
- You are a fast-learning multitasker who can keep track of a high volume of requests and small projects that come your way
- You have strong verbal and written communication skills
- You have experience with vendor management/coordination
- Nice to have:Â experience with our systems that we have in place (i.e. Airtable, Envoy, On-solve, Zendesk, Workday)
