ON A TYPICAL DAY YOU’LL

  • Serve as the first point of contact for visitors, vendors, candidates, and employees, and help ensure a positive Pilot workplace experience 
  • Maintain a safe, clean, and organized workplace environment; consistently monitor and directly address needs; manage employee facilities requests and address concerns
  • Support recruiting, onboarding, and offboarding processes, including but not limited to candidate onsite interview preparation, new hire setup, and the distribution and retrieval of equipment and materials
  • Support the planning and execution of all Pilot meetings and events, including but not limited to coordinating catering, conducting site visits, securing venues, executing set-up and breakdown, sending and managing invitations, developing and sending communications, agenda distribution, presentation, and material development
  • Manage employee swag inventory and ordering processes
  • Order, stock, track, and maintain pantry, office, and other company supplies as required; monitor and track against allocated budgets
  • Process incoming mail and prepare and ship outgoing mail, packages, and materials as needed 
  • Develop and coordinate required safety protocols and procedures and ensure compliance; escalate emergency, health, safety, and security issues promptly
  • Build and manage vendor relationships and processes as required 
  • Ensure office and facility equipment and systems are operational and well maintained; coordinate and manage service when needed
  • Support employee recognition and other programs as assigned
  • Support the planning and execution of office and facility move processes
  • Monitor, track, and maintain People Operations inventory accuracy by ensuring physical stock is in line with the inventory management system and ensuring inventory movement is adequately captured 
  • Interface with building management and manage building-related systems and processes including entering visitors and creating work order tickets, and ensuring resolution
  • Support People Operations and assist with employee-facing technology projects as assigned 
  • Provide administrative and project support to the CEO and Leadership team as needed, including but not limited to arranging travel, notary coordination, scheduling meetings, maintaining calendars, delivery coordination, supporting cross-team project needs, conducting research, creating reports, and data entry
  • Provide coverage for other Pilot facilities when needed
  • Handle other ad-hoc projects and responsibilities as required

WHAT WE’RE LOOKING FOR

  • 1-3 years of office or facilities-related experience and/or training or equivalent combination of education and experience
  • Demonstrated commitment to delivering a great customer and employee experience
  • Proactive self-starter with a strong commitment to quality execution and the ability to multitask
  • Experience working independently and collaboratively within and across teams and quickly adapting to the changing needs in the workplace
  • Excellent attention to detail with strong organizational and prioritization skills
  • Diligence in their ability to prioritize safety and security in day-to-day work activities
  • Demonstrated proficiency in GSuite, MS Excel and Word, and the ability to quickly learn other systems, tools, and platforms
  • Strong written and verbal communication skills; ability to exercise good judgment and discretion
  • Ability to safely use carts, dollies, hand trucks, and other gear to move items around; maintain proper certification where required
  • Ability to reach, bend, stoop, push, and/or pull and frequently lift up to 20 lbs; occasionally lift/move up to 40 lbs
  • Less than 10% travel may be required
  • Able to work onsite up to five days a week 
  • Must have a valid driver's license 


PILOT’S PAY & PERKS

  • Base salary of $50,000 - $65,000
