Job Description Summary

The Administrative Associate II works under general supervision and provides routine administrative support work.

Responsibilities

  • Provides support for 4-H specialist for 4-H events both on district and state levels. Works closely with the District Extension Administrator, Regional Program Leaders, and District Office Manager to ensure these events are carried out successfully. Routinely assists in preparation and assembly of paperwork (correspondence, programs, registrations, etc.) for District/State contests. Receipts monies received for registration fees and submits for deposit/transmittal to 4-H account. Logs registration and compiles figures for contest entries.

  • Provides support for Urban Entomologist. Routinely assists in preparation and assembly of paperwork (correspondence, programs, registrations, etc.) Receipts monies received for registration fees and submits for deposit/transmittal to short course accounts.

  • Provides support for Extension Turfgrass Specialist. Routinely assists in preparation and assembly of paperwork (correspondence, programs, registrations, etc.)

  • Using personal computer and word processing software, transcribes handwritten correspondence, reports, records, bulletins, manuals of technical or involved nature. Proofreads to assure correct spelling, sentence structure, grammar, etc. With approval, signs correspondence and sends out on behalf of Specialist(s). Prepares or reviews for acceptability FAMIS reports, vouchers and expense accounts for assigned specialists. Prepares and reviews travel expense reports.

  • Answers incoming telephone calls, locate and provide information where possible. Includes calls from the general public, program sponsors, county Extension agents and TAMU employees from other offices. Makes arrangements for meetings/training sessions conducted by assigned specialist(s). Takes minutes of conferences. Opens and sorts daily mail according to priority. Maintains filing system.

Qualifications

Required Education and Experience:

  • High school diploma or equivalent combination of education and experience.

  • Two years of related experience.


Required Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Ability to multitask and work cooperatively with others.

  • Effective verbal and written communication skills.
