POSITION SUMMARY

The Devon Member Services Assistant is a critical role in the life of the Surrey Devon Center. Every interaction at Surrey Devon begins at the Front Desk whether it be a member greeted upon entering the building, a potential member seeing the building for the first time, a valued member of the community joining an employee for lunch, or a Board Member entering the building for a meeting. This position must be able to manage all of these comings and goings while at the same time answering the phone, helping members with Co-Pilot and keeping up with a variety of administrative tasks assigned to the position. The Member Services Assistant is the face of Surrey at the Devon location and must consistently maintain a friendly, upbeat and level-headed demeanor at all times. The Assistant is an important member of the Program team and participates in all team meetings and planning sessions for the Devon location.
Some of the responsibilities of this role include:
β’ Answering phones and redirecting calls to appropriate offices and/or answer questions directly.
β’ Making program reservations by entering all needed information into the Shared Drive spreadsheet. This includes making appointments for CVIM, PA Medi, AARP tax appointments and special programming reservations as they come up during the Program year.
β’ Selling lunch and exercise punch cards, raffle tickets, collect special event money, collect craft class money, etc.; collect cash, check and credit card payments as necessary
β’ Working with Surrey Volunteer Ambassadors as appropriate during their first floor assignments including welcoming new members, assisting new members with CoPilot, giving short tours, etc.
β’ Assist with the screening of new members based on visual assessments during interactions
β’ Make new member packets for tours; make new member orientation packets
β’ Record food deliveries to home-bound members in CoPilot
β’ Process and maintain Fitness Center applications and forms for ease of use
β’ Assist volunteers and staff with general fitness center membership and billing support
REQUIRED SKILLS AND ABILITIES:
β’ Must be able to maintain a positive, cheerful yet professional countenance at all times
β’ Must have excellent customer service skills, including the ability to be discreet and diplomatic, as well as handle confidential information properly
β’ Must have strong computer skills including use of Microsoft Office Suite. Proficiency in Word and Outlook; Able to create Excel spreadsheets and provide an analysis of the date, including the creation of graphs; Able to use smartphones, tablets and other hardware and software programs, such as CoPilot, as required
β’ Must have excellent written and oral communication skills with strong attention to detail in both
β’ Must be comfortable with a workday of extremes, partially hectic and partially very quiet
β’ Must be able to manage multiple and constantly shifting priorities
β’ Must be comfortable working in a team environment
WORKING ENVIRONMENT & PHYSICAL DEMANDS:
Work Environment- The incumbent works in an office environment and uses a computer, telephone and other office equipment as needed to perform duties. Being at the front desk is a unique position as there are constant interruptions and demands for attention. The center is non-stop action daily from 10am β 2pm and the Member Services Assistant must be able to maintain composure at all times in the face of constant demands.
Physical Demandsβ The physical demands described below are representative of those that must be met by an employee to successfully perform the essential functions of this job.
β’ Must be able to work at a desk/computer for extended periods of time; it is typically difficult to leave the desk for any length of time between 10am β 2pm
β’ Must be able to grasp, push, reach, or stoop/kneel/crouch.
β’ May be required to lift up to 20 pounds on occasion.
