About This Role
SummaryÂ
Provides program-specific and general support to Program Managers and supports the administrative needs of the program staff.Â
Essential Duties and ResponsibilitiesÂ

Internal and External meeting coordination (room reservations, food orders, visit request, etc.)Â

Assists the program team in the preparation and conduct of internal program meetingsÂ

Assists the program team in the preparation and conduct of external program meetingsÂ
-
Prepares monthly program management review slides; schedules monthly PMR reviewsÂ
-
Manages the update and submission of program monthly status reportsÂ
-
Coordinate submission of program CDRLs to data managementÂ
-
Tracks monthly customer CDRL delivery metrics; resolves late deliveriesÂ
-
Prepares Open PO Commits and Open REQ reports for weekly COE meetingsÂ
-
Reviews Open PO Commits reports to resolve late receipts, ensure near-term receipts are on track, and help identify future receipt acceleration opportunitiesÂ
-
Initiates, tracks, and manages purchase requisitions through PO issuanceÂ
-
Assists the Program Manager in maintaining program EVM metrics (CPI and SPI), updating program phases, ETC reviews, etc.Â

Process vendor invoices (CLS programs only)Â
-
Coordinates and tracks program shipmentsÂ
-
Provides status reporting of program manufacturing, development, integration, and testing tasks (as required)Â

Assists the Program Manager in maintaining the program Integrated Master Schedule (IMS)Â
-
Coordinates submission of program invoicesÂ
-
Supports development of proposals to include BOEs, IMS, Review Slides, etc.Â
-
Tracks monthly customer delivery metrics (per PO line-item dates); track and manage PO updates to align with contractual schedule changesÂ
-
Other duties as assignedÂ
Qualifications and Education RequirementsÂ
-
Bachelor’s degree in business, operations management, or in a related field or an equivalent combination of education and related experience.Â
-
PMI certification desiredÂ
-
Minimum 2+ years of experience in project oversight, analysis and/or administrationÂ
-
Proficiency in Microsoft Office Products: Windows, Word, Excel, Project and Power PointÂ
-
Proficiency in MRP systems (Costpoint or equivalent) desiredÂ
-
Good verbal, written, and interpersonal skillsÂ
-
Able to handle multiple tasks concurrentlyÂ
-
Attention to detail and follow through is imperativeÂ
-
Must be able to travel and work flexible hours and overtime, including occasional weekendsÂ
-
Must be familiar with all office equipment such as: copy machine and printerÂ
-
Must be detail oriented and highly organizedÂ
-
Customer service skills and assertiveness to deal diplomatically with employees at all levelsÂ

Attentiveness to deadlines and the ability to prioritize in a fast-paced environmentÂ

Must be able to work with minimal supervisionÂ
Security ResponsibilitiesÂ
Must comply with all company security and data protection / usage policies and procedures. Personally responsible for proper marking and handling of all information and materials, in any form. Shall not divulge any information, or afford access, to other employees not having a need-to-know. Shall not divulge information outside company without management approval. All government and proprietary information will be accessed and stored electronically on company provided resources.Â

Work Environment and Physical Demands
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
