This role offers an exciting opportunity to contribute to the successful delivery of medical communications programs in a fast-paced, client-focused environment. You will work closely with Program Directors and Managers to coordinate multiple projects, ensuring timelines, quality standards, and client expectations are met. Your responsibilities will span program logistics, vendor management, MLR review processes, and team communication, allowing you to develop a broad skill set in project management within healthcare and life sciences. The role also includes mentoring junior staff and assisting in small-scale projects, providing visibility into strategic program execution. This position requires strong organization, attention to detail, and the ability to manage multiple priorities while maintaining professional communication with stakeholders. Accountabilities:

  • Oversee the initiation, development, and completion of program deliverables, ensuring adherence to timelines and quality standards.
  • Serve as the administrative liaison between internal teams and clients, including managing medical/legal/regulatory (MLR) processes and communications.
  • Coordinate internal and external meetings, lead scheduling, provide status updates, and communicate professionally with all project stakeholders.
  • Manage project logistics including vendor coordination, site selection, travel arrangements, and audiovisual needs for meetings and events.
  • Support financial and budget activities, including tracking project costs, reviewing invoices, preparing reports, and maintaining accurate documentation.
  • Mentor junior team members and provide guidance on task completion and workflow management.
  • Assist Program Directors and Managers with small, non-complex projects to ensure overall program success.
  • Requirements:
  • 2–3 years of experience in program or project coordination within a client service, agency, or medical communications setting.
  • Bachelor’s degree or equivalent relevant work experience.
  • Strong organizational skills with the ability to manage multiple projects and workflows simultaneously.
  • Experience with MLR or review processes, vendor coordination, and meeting/event logistics.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, MS Project).
  • Excellent verbal and written communication skills with strong interpersonal abilities.
  • Ability to train or mentor junior staff and collaborate effectively in a team environment.
  • Basic understanding of financial tracking, budgeting, and reporting for service-based projects.
