Coordinates bid/capture processes, resources, and deliverables with specific focus on timely and complete bid documentation and compliance reporting. Contributes to bid planning, the production of bid briefs, and the maintenance of bid files. Confirms that bid teams are resourced with the skills, knowledge and experience to provide streamlined and efficient delivery of outputs. Supports bid/capture management on small to medium pursuits by performing project control and deliverable administration functions. Ensures that documentation is aligned with the sales process and approvals are secured.

Essential Job Functions

Orchestration of end-to-end pursuit activities that include the following:
  • Deal Strategy Development: Support our team in the development of sales, competitive and win strategiesSupport the development to third party intermediary and/or Client procurement relationships approach along with developing our relationship maps.
  • Resource Management: Ensure the pursuit is staffed with appropriate roles. Assist the Account / Sales Executives in budget requests and WBS Code maintenance activities and any facilities / logistics needs.
  • Cost/Price Management: Complete or support the development of pricing using MOBY and / or PACE. Support our solutioning team in the development of pursuit costs. Ensure costing activities are planned (using a tracker), executed, and following appropriate processes for review and approvals
  • Communications Management: Facilitate pursuit core team calls. Setup, maintain and administer Deal Collaboration Site and other communications media. Provide continuous deal status updates to various stakeholders. Facilitate and manage all external client meetings, presentations, Q&A process, including any dry runs / rehearsals required to get the pursuit message across to internal stakeholders and clients. Research and propose potential references and as needed ensure Due Diligence is planned, coordinated, and executed.
  • Schedule Management (and Governance): Create, maintain and communicate deal calendar. Coordinate deal governance including preparation and distribution of collateral. Manage and facilitate checkpoints (best practice CAT A/B yields). Develop, manage and maintain deal close plan
  • Risk Management: Ensure Risk register is actively utilized by team and reviewed throughout the deal.
  • Integration Management: Prepare and conduct deal team acclimation / kick-off activities. Ensure account stakeholders are engaging, participating, and integrating with deal team activities. Maintain and manage deal action items and notices of decision. Ensure price-to-win / allowable cost activities are performed and communicated. Plan, communicate, and manage the Solution sessions (i.e., Storyboard). Perform and ensure all deal close down activities are executed
  • Quality Management: Ensure credit check completion for client. Maintain currency of deal health checklists, export compliance is completed. Oversee client deliverable development, review, and submission / delivery process. Ensure negotiations activities (including SLA, SOWs, MSA, etc) are communicated and following appropriate processes for review and approvals.
  • B&P Valued Added Roles: Offer experienced guidance on all aspects of deals (sales, solution, costing, pricing, negotiations) to add value beyond administrative / project management roles. Guiding and coaching proper and clear communication / presentations. Supporting deal teams to better communicate their proposals by co-creating innovative, illustrated visuals and concise, compelling, and effective presentations (utilizing print, digital, and physical materials).

Basic Qualifications
  • Bachelor's degree or equivalent combination of education and experience
  • Bachelor's degree in business administration or related field preferred
  • Six or more years of bid/capture, proposal or related experience
  • Experience working with company products and services, delivery assurance, and industry standards on deliverables
  • Experience working with technology industry
