Swyft, Inc. is a global leader in automated retail with more than 1,000 small self-service retail stores for 20 of the world’s largest brands and retailers including Benefit Cosmetics, CVS, iStore (Apple) & Kraft Heinz. The Executive Assistant will report to the President & Co-Founder and work directly with C-level executives. Responsibilities
- Scheduling meetings, appointments, travel itineraries and events
- Coordinating executive communications, including inbound and outbound communication and interfacing with clients and business partners
- Maintaining complex filing systems and databases, document review and preparation
- Preparing, editing and distributing presentation materials
- Administration of executive expense reports
- Assisting HR on onboarding process for new hires
- Planning and managing for regular board meetings, in-house or off-site activities, including parties, celebrations and conferences
- Assist our Location Procurement team with management & monthly special reporting as well as document management
- Upholding a strict level of confidentiality
Requirements
- Outstanding English communication skills written and verbal (multilingual a plus)
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel, PowerPoint, Word, in particular)
- Knowledge of CRM systems (e.g. Netsuite Financials), Google WorkSpace would be an advantage
- Attention to detail and problem-solving skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- Bachelor’s degree preferred; additional qualification as an Administrative Assistant will be a plus
