The Role:
We are looking for an experienced and highly motivated Executive Assistant to join our team. You will manage business-related tasks that will provide strategic and operational support to Halcyon’s top executives.
Responsibilities:
- Provide scheduling and calendar support for company executives
- Coordinate travel arrangements on behalf of executives for industry conferences and summits, Board of Directors meetings, and internal events (flights, hotel accommodations, conference rooms, dinner reservations)
- Work with outside vendors to establish preferred pricing agreements
- Draft, review, and send communications on behalf of company executives
- Respond to correspondences and communicate messages and information to the executives
- Organize and prepare for meetings, including gathering documents and handling logistics
- Maintain various records and documents for company executives, including meeting minutes, memos, and business expenses
- Coordinate with other internal and external executives and associates in a professional manner
Skills and Qualifications:
- Previous experience as an Executive Assistant
- Excellent verbal and written communication skills
- Acute attention to detail
- Possess time-management and organizational skills
- Ability to multi-task, meet deadlines, and prioritize workflow
- Advanced knowledge of Microsoft Outlook, Slack, and more
