General Summary of Position

The Executive Coordinator manages the administrative operations for the executive suite at MedStar Washington Hospital Center and MedStar Health Vascular Institute.

Supporting the Senior Vice President and Chief Operating Officer, this role involves planning, directing, and managing projects, working with senior management to advance strategic interests, and overseeing administrative staff. Key responsibilities include organizing projects, scheduling meetings, handling communications, supervising staff, managing supplies, and conducting research for executives.

1. Plans and organizes various projects and activities for executive leadership. Ensures that objectives are clearly and concisely documented and are congruent with overall hospital strategic and operational goals. Establishes operational priorities and activities to facilitate and to support organizational success.

2. In addition to supporting the Senior Vice President, provides administrative support for the Chief Financial Officer and Vice President Professional Services including scheduling meetings, coordination/reporting of GI meetings, and working with directors who are under the supervision of the Chief Financial Officer and the Vice President Professional Services .

3. Screens and prioritizes all telephone calls and correspondence for the Senior Vice President, the Chief Financial Officer, and the VP of Professional Services; and ensures information is directed to the appropriate person. Provides assistance and direction to callers, visitors, and staff as required.

4. Supervises administrative support staff and assures coverage of assigned areas including the office reception desk. Assigns work priorities and deadlines, interviews, and orients new staff. Assists in evaluating performance and makes recommendations for personnel actions such as merit increases, promotions, disciplinary actions, and grievance.

5. Purchases and maintains supplies and inventory necessary for the Executive Suite. Coordinates repair and/or replacement of broken equipment.

6. Ensures information flows to and from the executive office, via all types of venues (forums, correspondence, speeches, conferences, retreats, etc).

7. Handles special projects and organizes system related meetings.

8. Serves as a generalist; performs complex administrative duties. Composes correspondence independently on a wide variety of matters, including material of confidential nature.

Education

High School Diploma or GED, required

Bachelor's degree in Health Care Management or equivalent major, preferred

Work Experience

1+ years of progressively more responsible job related experience, preferably in a health care setting, required
