Manager, Purchasing & Procurement

We are looking for a strong Purchasing & Procurement Manager, Operations to join our Corporate Operations team. 

The Purchasing & Procurement Manager, Operations will work closely with our Director of Procurement, Director of Hospitality Partnerships, and Sr. Manager, Corporate Operations in supporting our strategy and operational processes.  This team member is an integral member of the Corporate Operations team in partnership with Development & Construction, Design, Real-estate, Finance, AV/Technology, IT, Openings, and the Procurement team to achieve business goals. 

The Purchasing & Procurement Manager, Operations will assist in building our procurement foundation directly linked to field operations, including but not limited to: sourcing/product selection, vendor relationships, contract negotiations, operation efficiencies as it pertains to costs and deliveries, scalability, local vs national vs global, and new market research & development. 

The ideal candidate will have experience leading a clear supplier management process including evaluation, selection & ongoing management including KPI's to effectively measure performance.

What you’ll do:

The Purchasing & Procurement Manager, Operations requires experience in high volume environments with a focus on operational details. 

  • Collaborate with Field Operations, Culinary, Real-estate, Development & Construction, Design, Openings, & Procurement on managing the budget tracking system via our current platform Procore (including the opening of procurement bid rooms)
  • Lead and assist in the RFP process when selecting new vendors; create RFP reports and compile bid data for potential vendors and partners.
  • Assist in all sourcing and procurement of operational items and in the creation of standards across project builds
  • Manage and maintain capital equipment database/inventory system
  • Create reports, based on key functional metrics to provide to the procurement team, to fulfill reporting requirements
  • Forecast upcoming levels of demand based on historical data; assist with budget planning annually
  • Follow up on project delivery milestones and deadlines
  • Assist with warranty and product standards inquiries
  • Assist with the procurement system implementation
  • Complete credit applications as applicable for new and existing locations/regions along with new vendor set-ups. Process rebates and track rebate schedule.  Communicate vendor status and provide applicable COI requirements on behalf of property teams.
  • Order fulfillment & management - manage drawing changes on OFI item orders, maintain a master order list per project in partnership with Sr. Manager, Purchasing & Procurement.
  • Invoice/AP Management: Track and process Operating Supplies & Equipment PO’s & invoices in Procore and in accounts payable system. Reconcile AP system with the Procore system bids & invoice entries to ensure check and balances in place
  • Review and negotiate vendor contracts, field new vendor inquiries, and evaluate using new vendor standards
  • Process vendor evaluations/audits
  • Assist with payment inquiries from accounts payable/vendors in partnership with Field Operations
  • Create Operations compliance reporting, based on volume and preferred vendor lists
  • Work closely with Field & Corporate Operations on facilities vendors and services as necessary

What we look for:

  • 3+years of working experience in the purchasing and procurement field with a large retail company and/or hospitality/food & beverage company
  • BS degree in supply chain management, logistics or business administration. Ability to gather, organize and analyze data and to work with figures
  • Familiarity with vendor sourcing, management, and contract negotiation
  • Interest in market dynamics along with business sense
  • Solid judgment along with decision making skills
  • Must have a high proficiency in Microsoft Excel (pivot tables etc.); prior experience with Procore or other project management software
  • Ideally located in the NYC Metro area

Compensation:

Base Salary:

Salary Min: $90,000 USD Salary Max: $100,000 USD

This role is also eligible for Convene's annual incentive performance bonus plan.

This information reflects the anticipated base salary range for this position based on current national data. Minimums and maximums may vary based on location. Individual pay is based on skills, experience and other relevant factors.
