Job Description

We are looking for an Office Administrator who will oversee the day-to-day office administration. The selected individual would also be exposed to HR and facility-related work to provide efficient support on all office operations and administration.

This role also involves general affair as well as legal document management, and various marketing support both for PartnerRe and PDM. 

Accountabilities

  • Perform onboarding and offboarding arrangement such as orientation schedule, liaising with IT of laptop, access card, corporate card, exit clearance, etc...
  • Manage administration of staff’s MPF enrolment, health insurance and office insurance.
  • Administer work pass applications, cancellation and renewal.
  • Checking of monthly payroll and tax reporting including Employer’s Tax Return and co-ordinate with HR GEO Partner, Asia.
  • Day-to-day HR operations, office administrative functions and COVID measure compliance.
  • Manage office mail and courier, name card printing, creation of access card, etc...
  • Purchase and Maintain office inventories and ensure continuous supply, maintain the upkeeping of office premises.
  • Main contact with Building Management on maintenance matters, ensure in compliance with Health and Safety regulations.
  • Liaise with vendors / suppliers on invoicing matters, ensure prompt payment to various utilities, office maintenance services are made. Management and reimbursement of petty cash and act as the main contact point for all banking enquiries.
  • Arrange and manage business meeting schedules by communicating with our clients’ PA, main contacts 
  • Support on email communication with clients on data requests for reinsurance pricing
  • Client event planning and logistics management
  • Support on CRM entry through Salesforce application

Qualifications

Competencies

  • Good spoken and written English preferred
  • Good knowledge of MS Office applications
  • Able to speak, read and write Cantonese

 Education

  • You should have at least a diploma or equivalent, with minimum 5 years of general office facility / HR administrative experience.

  • Proficiency in MS Office 
  • Ability to effectively communicate and interact with employees at all levels
  • Ability to follow instructions and perform a wide range of tasks
  • Ability to take initiative and be proactive
  • Able to work independently
  • Attention to detail and strong organization skills are a must
