The Role
The People & Talent Operations Manager will help develop, drive, and execute on the strategies that support Cavnue's People & Talent team as it seeks to build a top-notch function. Success will be defined by establishing work processes that help the People & Talent team maximize efficiency and deliver results, developing programs and training that support employee growth, and managing key recruitment issues, including interview scheduling, offer processing, and onboarding.

The Role
The People & Talent Operations Manager will help develop, drive, and execute on the strategies that support Cavnue's People & Talent team as it seeks to build a top-notch function. Success will be defined by establishing work processes that help the People & Talent team maximize efficiency and deliver results, developing programs and training that support employee growth, and managing key recruitment issues, including interview scheduling, offer processing, and onboarding.
Role overview:
Learning & Development
- Support the creation and delivery of training materials for people managers to lead their teams effectively, including everything from hiring the best people to motivating, developing and recognizing them
- Build relationships with people managers and offer thought leadership on organizational and people-related strategy and execution. Use data and benchmarking to support your proposals
- Develop and lead training programs focused on enhancing recruiting effectiveness
- Support a broad range of People initiatives across all functions. Collaborate on the design, implementation, and iteration of new people programs as well as assess and improve current people programs
Onboarding
- Ensure a seamless and best-in-class onboarding process for all candidates, delivering an exceptional candidate experience from offer acceptance through first 90 days of employment, to include (but not limited to):
- Prepare candidate welcome letters & hiring manager (HM) preparation letters
- Conduct and analyze entrance interviews
- Facilitate ordering laptops/equipment, creating email addresses, coordinating 1st day logistics, collecting headshots, bios & quotes, and coordinating the welcome gift for all new hires
- Manage the new hire buddy program
- Facilitate new hire orientations
- Prepare HM for onboarding, create a standardized
- calendar for the new hire that manager completes,
- encourage them to build a 30/60/90 day plan, etc
- Engage in 30/60/90 day check-ins for new employees
- Additional administrative onboarding tasks to include: ordering background checks, candidate assessments, conducting reference checks, preparing and collecting signatures on required new hire forms, enrolling employees in Cavnue systems, preparing I-9 form, verifying I-9 documents
- Prepare and facilitate Cavnue's monthly welcome event, the New Hire Half Hour
Scheduling/Recruiting
- Partner with the Recruiting team to support the recruiting process and interviewers to ensure we're evaluating candidates effectively and attracting and hiring top talent
- Ensure seamless and timely scheduling of all candidates
- Make recommendations to improve processes related to scheduling efficiency (i.e. automation where possible)
- Collect feedback from interviewers in a timely manner and follow-up as needed
- Prepare interviewer packets prior to each interview to include bios/resumes, schedule, and areas to probe on for each interviewer; ensure interview questions are specific to each role
- Obsess over the candidate experience to ensure the 'front line' (recruiters, interviewers, schedulers) are a well-oiled machine and consistently deliver a seamless onsite or virtual experience
Reporting, Metrics, & Analytics
- Work closely with recruiters to prepare timely and relevant reports that analyze recruitment efforts and make recommendations on areas of improvement for more efficient recruitment operations practices (i.e., tracking offer acceptance/rejection reasons, recruitment metrics i.e. time to fill, etc.) and help prepare weekly reports and dashboards
- Analyze current recruitment operations methodologies and make recommendations on best practices to follow
- Manage the collection of candidate and hiring manager feedback surveys; develop strategies to increase participation and analyze results to generate improvements
Additional Responsibilities
- Oversee our portfolio of products and vendors (e.g., Greenhouse, Checkr, Builtin, Knoetic, etc.) and ensure we are maximizing the value and achieving efficiencies (e.g. APIs)
- Facilitate employee engagement surveys and action-planning follow-ups
- Coordinate and facilitate monthly Lunch & Learns
- Support quarterly and annual performance review processes including managing logistics and reporting
Requirements:
- 12+ years professional experience
- 5+ years experience in Recruiting Operations or equivalent operational experience
- Experience managing and prioritizing multiple projects and client relationships
- Advanced abilities in Excel, Google Sheets, and ATS reporting tools preferred
- Ability to develop strong working relationships with leaders and peers within the organization both within and across geographical markets
- Proven ability to successfully work both independently and collaboratively to accomplish operational goals
- Strong customer service and relationship management skills as well the ability to engage and influence hiring managers and other business partners at all levels
- Highly organized and efficient - you get things done
- Excellent presentation, facilitation, and communication skills
- Strong experience in managing complexity, ambiguity and change
- Ability to work within constraints as well as to challenge the status quo
- Strong collaboration and influence skills with people who possess a variety of different work styles
- Proactive, highly motivated, and self-directed with great time management skills
- Proven track record in successful start-ups or tech companies with an understanding of key roles and positions within our space
