Summary
The Senate Sergeant at Arms is seeking a Passport Issuance Specialist. The complete vacancy announcement and application can be found on the United States Senate Career Page at https://sen.gov/1VNZQ. Duties
Provides administrative support to the Senate Passport Office. Examines official and tourist passport applications and related materials for stakeholders. Ensures compliance for passport issuance processes, documentation and timeframes. Organizes conference calls and digital video conferences with the Department of State and other US Government agencies. Provides customer service to stakeholders and responds to inquiries and concerns. Processes all payments related to services required. Other duties as assigned.

Qualifications
Required Work Experience
1-2 years of administrative experience, with some experience in passport issuance related functions.
Required Special Skills/ Knowledge
As part of our hiring process, we may conduct a skills assessment to better understand an applicant’s proficiency in key areas relevant to the role.Â
Assigns case work on a continuing basis according to a standardized control system, or other assigned work by providing standing general instructions about timeliness, objectives, and relative priorities.
Accountable for tracking and monitoring payments related to services required.
Works with the State Department to coordinate the delivery and retrieval of passport applications.
Ability to complete Passport Agent training within the first six months of employment.
Knowledge of provisions of laws, treaties, rules, and regulations pertaining to birth, identity, and citizenship matters concerning the examination of applications for passports.
Knowledge of provisions of State and foreign laws as they apply to such issues as marriage, legitimation, adoption, and child custody.
Knowledge of provisions that govern entitlement to diplomatic and official passports on a regular and exceptional basis and knowledge of agreements with other countries as they apply to entitlement to such passports.
Knowledge of certain provisions of immigration and naturalization laws and regulations covering legal entry into the United States, residency, and other requirements as they apply to acquiring and retaining U.S. citizenship.
Knowledge of the functions, policies, systems, procedures, and processes employed by headquarters and passport offices in the issuance of passports.
Ability to work effectively with others.
Ability to conduct research and accurately prepare and process a variety of executive reports, records and documents.
Ability to effectively interact with staff members representing all levels of the organization, as well as with outside vendors.
Ability to communicate both orally and in writing, multi-task and collaborate effectively. Attention to detail is required.
Ability to work with customers in a front facing capacity, and work as a team in a fast-paced environment.
Ability to operate camera equipment for passport photos.
Ability to lift up to 25 lbs.
Desired Qualifications
Familiarity with, or ability to learn, laws, regulations, and procedures related to birth, identity, citizenship, and passport issuance.
Experience reviewing official documentation with a high degree of accuracy and attention to detail.
Ability to apply established policies and procedures consistently while exercising sound judgment and discretion.
Experience working in a fast-paced, customer-focused environment with competing priorities.
Strong written and oral communication skills, with the ability to interact professionally with internal and external stakeholders.
Proficiency with Microsoft Office and the ability to learn office-specific systems and applications.
Interest in developing subject-matter expertise in passport policy and procedures through formal training and on-the-job experience.
Working Conditions
Since this position requires onsite presence in support of the U.S. Senate when in session, this position requires the employee to be available and prepared to work during government shutdowns, in inclement weather, on holidays, and during late night, overnight, and weekend sessions. In the context of government furloughs, this position is considered excepted.
This position directly supports essential services of the U.S. Senate. As such, this position requires the employee be available and prepared to work during government shutdowns, in inclement weather, on holidays, weekends, and during late nights to ensure essential services to the Senate continue without interruption. In the context of government furloughs, this position is considered excepted.
Ability to sit, stand, and walk for extended periods.
Education
High School Diploma/ GED.
