Job Overview
We are seeking a dedicated and detail-oriented Intake Specialist to join our team. The ideal candidate will play a crucial role in the initial assessment and processing of incoming projects, ensuring that all necessary information is accurately collected and recorded. This position requires a strong background in construction-related fields, as well as excellent organizational skills to manage multiple tasks efficiently.
• Answer incoming calls: Respond to customer calls promptly and professionally, converting service inquiries into booked appointments.
• Customer assessment: Question customers to determine the urgency of their plumbing problem and the type of service needed.
• Schedule appointments: Use dispatching software, such as HouseCall Pro and Quickbooks, to book, confirm, and manage the daily schedules for plumbing technicians and collect payments.
• Customer communication: Act as a liaison between the customer and the technician, providing status updates and communicating any schedule delays.
• Data entry: Record all customer interactions, service requests, and personal information accurately and confidentially in a customer management system.
• Customer follow-up: Conduct outbound calls after a service appointment to ensure customer satisfaction and schedule any necessary return trips.
• Administrative support: Assist with general office duties, including filing, managing customer records, and processing payments, accounts receivables.
• Problem-solving: Address customer complaints or issues with empathy, escalating complex problems to a service manager as needed.
Qualifications and skillsTo succeed in this role, a candidate should possess the following qualifications and traits:
• Customer service experience: Prior experience in a call center, dispatching, or a service-oriented business is highly preferred.
• Excellent communication skills: Must have a friendly and professional telephone manner, with the ability to communicate clearly and concisely.
• Organizational skills: Requires high attention to detail and strong time management skills to handle high volumes of work accurately.
• Technical proficiency: Must be comfortable with basic computer skills and capable of learning industry-specific scheduling and dispatching software.
• Empathy and patience: The ability to remain calm under pressure and handle customers who may be in a stressful situation due to a plumbing emergency.
• Industry knowledge: Familiarity with standard plumbing and drain concepts, as well as the services offered by the company
