Summary The position is located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), VA Portland Healthcare System, Deputy Director, Facilities Management Services, Projects and Operations. The primary purpose of the position is to assist with project related items and clerical duties in support of the design of interior environments throughout the VA Portland Healthcare System. Major duties include, but are not limited to: Assists the interior designer in setting up project files, gathering all necessary reference materials and inventory and verification of existing spaces and conditions. Verifies criteria is in sufficient detail and accurate to meet functional capability required by the user and manages the organization of documentation throughout the duration of a project. Assists the interior designer with designing and altering spaces to meet functional and aesthetic needs using several guidelines such as performance standards, specifications, technical manuals, VA guidelines, policy instructions, Joint Commission standards, OSHA regulations, codes, and industry trends. Manages multiple projects concurrently and identifies all resource requirements in advance to ensure seamless planning, development, construction, and implementation activities. Plans and carries out all successive operations to complete assignments. Responsible for reporting, presenting, and communicating the progress of projects. Assists the interior designer in creating furniture plans to include bill of materials, room by room content lists, and item installation lists. Participates in project design related tasks. Develops Government cost estimates and prepares required documentation for procurement of furnishings. Researches and maintains current design resource library of furniture, equipment, and product literature as well as up to date samples of standard interior building finishes and materials. Serves as the main point of contact for manufacturing representatives to gather information, discuss and evaluate materials, finishes, equipment, furnishings, and keeps abreast of current products and innovations in the field of interior materials and furnishings. As a purchase card holder orders products, materials, and services. Reconciles credit card transactions and records purchases to ensure procurements are within budget constraints. Manages and tracks transactions from initial purchase through receipt and installation of products. Maintains files of transactions or projects complete with drawings, specifications, budget, and cost accounting information. Develops processes to organize and coordinate with facility Move Committee Coordinators to ensure completion of internal agency office moves. Enters work orders and issues trades staff the needed information for the work to be performed. Assists in scheduling and evaluating ergonomic requests. Performs other related duties as assigned. Qualifications To qualify for this position, applicants must meet all requirements within 30 days of the closing date of this announcement, 06/09/2026. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Collecting, compiling, and tracking data/ information to generate reports and correspondence; Ordering and tracking inventory of office supplies/materials; Reviewing correspondence for accuracy and completeness; Working with different software applications to do word processing, work orders, office automation, and purchase card reconciliations; Tracks and reports project progress and prepares and maintains cost estimates and documentation for procurement; Communicating with customers to gather information and/or present information.
