Position Summary:
The Accounts Payable Assistant is responsible for performing critical accounts payable tasks. This will include duties related to processing vendor invoices in an accurate, efficient and timely manner.
Essential functions of the job include but are not limited to:
- Gather invoices for processing received via USPS mail and email
- Process vendor invoices for payment. This includes vouchering and coding invoices, verifying details against purchase orders, matching to receiving documents, obtaining necessary approvals and entering into accounting system for payment.
- Verify quantities ordered to those received, verifying pricing and discounts
- Work with vendors to resolve routine questions and problems including responding to general inquiries
- Reconcile vendor statements, contacting vendors regarding missing invoices or other discrepancies
- Work closely with other departments to resolve routine questions or problems
- Weekly and Monthly purchase order reconciliation
- Other duties as assigned
Qualifications:
Minimum Required:
- High School Diploma or equivalent combination of education and experience
- At least 2 years of related experience with accounts payable
Other Required:
- Requires good attention to detail, excellent documentation skills and must work well in a group environment
- Must be familiar with MS Office and possess basic Excel skills
- Solid understanding of accounts payable principles
- Basic knowledge of accounting software
- Able to handle deadlines and high volume of work
- Data entry skills along with a knack for numbers
- Good written and verbal communication skills
- Must be proficient with a calculator
- Must have a positive can-do attitude
- Must be able to read, write, speak fluently and comprehend the English language
Preferred:
- Bachelor’s degree in accounting or other equivalent field
- Experience in a project-based accounting environment
