This fully remote role provides high-level administrative support to senior distribution leaders within a dynamic financial services environment.
The successful candidate will help ensure smooth daily operations by managing schedules, coordinating logistics, preparing business materials, and supporting key initiatives.
This position requires a highly organized professional who can manage competing priorities while maintaining accuracy and discretion.
You will collaborate with internal teams and external stakeholders to improve operational efficiency and support strategic business activities.

Accountabilities:
The Administrative Assistant will provide essential operational support to distribution leadership by coordinating administrative activities, improving team efficiency, and ensuring seamless execution of daily priorities.
- Provide professional administrative support to senior leaders, ensuring timely follow-up and effective coordination of activities.
- Manage calendars, schedule meetings, coordinate logistics, and support virtual and in-person meeting preparation.
- Arrange domestic and international travel, including transportation, accommodations, and detailed itineraries.
- Prepare and process expense reports while ensuring accuracy and timely submission.
- Develop and format correspondence, reports, presentations, and other business documents.
- Coordinate conference room reservations, catering requirements, and virtual meeting technology needs.
- Respond to routine requests from internal and external stakeholders with professionalism and efficiency.
- Maintain organized electronic and physical filing systems while ensuring confidentiality of sensitive information.
- Support purchase order requests and collaborate with finance and sourcing teams on vendor payment processes.
- Assist with department projects, events, and team initiatives as assigned.
- Prioritize multiple responsibilities, meet deadlines, and provide updates on ongoing activities.
- Escalate issues requiring leadership attention and contribute to continuous improvement of administrative processes.
- Associate’s or Bachelor’s degree in Business Administration, a related discipline, or equivalent professional experience.
- 2–4 years of experience in administrative support, office coordination, executive assistance, or a similar role.
- Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
- Excellent written and verbal communication skills with a professional approach to stakeholder interactions.
- High attention to detail and commitment to accuracy in all administrative tasks.
- Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Familiarity with virtual meeting platforms and basic audio-visual technologies.
- Ability to manage confidential information with discretion and sound judgment.
- Strong customer service mindset with excellent interpersonal skills.
- Ability to work effectively both independently and as part of a distributed team.

- Competitive salary range of approximately $56,650–$84,970 annually, depending on experience, skills, education, and location.
