Job Summary

The Entertainment Specialist is responsible for the administrative processing in the coordination of shipboard entertainers and enrichment personnel. Leads and oversees various projects/events to ensure the highest quality of entertainment is achieved and exceeded.

Essential Job Duties

Processing (travel and administrative) of entertainers, lecturers, instructors and all other Crystal Visions Enrichment Personnel (CVEP), cruise staff, musicians and various contractors including, but not limited to:

  • Responsible in drafting contracts and documents; sending initial confirmation documentation
  • Manage concessions and requesting air travel; tracking progress through booking stages
  • Advising personnel of travel requirements, including visas in a timely manner
  • Supervise arrangements with ground transfers and hotels through port agents
  • Communicate with personnel regarding their processing and cruise expectations
  • Distribute cruise and air tickets and other necessary travel documentation and information in a timely fashion
  • Oversee and process background checks and logging results
  • Communicate with the ship; creating Voyage Reports for each cruise listing all pertinent details of shipboard entertainment personnel and entertainment programs.
  • Oversee scanning and sending electronic files of biographies, photos and lecture/class titles for CVEP
  • Manage electronic and paper records
  • Oversee coordination of QAP data and cruise director comments to personnel and agencies
  • Responsible in approving, verifying, coding and processing invoices and wire transfers related to shipboard personnel and programs meeting strict deadlines
  • Assist in related job responsibilities and tasks, as necessary

Work Environment

Works in a typical office environment with quiet-to-moderate noise generated by computer printer, fax machine and light traffic. Occasional travel may be required to support shipboard operations or business needs.

Physical Demands

Requires sitting, standing, walking, bending, and reaching. May require lifting or pushing up to 25 pounds. Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, the telephone, and other office equipment.

Expected Hours of Work

The position is full-time and frequently requires working additional time outside of normal business hours.

Requirements

Experience:

  • Candidate should possess working knowledge of administration operations, travel coordination/logistics, and strong oral and written communication skills.
  • Candidate should possess strong proficiency with MS Office and primary accounting functions and must be able to handle heavy work volume with ease.

Skills/Qualifications:

  • Candidate must possess developed organizational and communication skills
  • Candidate must be able to multi-task efficiently and work under constant deadlines
  • Candidate must have general knowledge in entertainment on board ships.
  • Candidate must have the communication skills to maintain excellent relationships with agencies, artists, guest enrichment personnel, and shipboard entertainment management.
