Accountabilities:

The Executive Assistant of the CEO & Office Manager will support executive priorities while overseeing office operations and fostering collaboration among administrative teams. Key responsibilities include:

  • Manage a complex executive calendar, ensuring time is aligned with strategic priorities, leadership commitments, and organizational objectives.
  • Proactively organize schedules to protect time for strategic planning, relationship building, leadership activities, and important engagements.
  • Prepare and edit executive communications, presentations, reports, meeting materials, talking points, and supporting documentation.
  • Coordinate internal and external meetings, leadership events, conferences, community visits, and stakeholder engagements.
  • Manage travel arrangements, itineraries, logistics, accommodations, transportation, and meeting preparation for executive activities.
  • Track executive commitments, strategic initiatives, action items, and follow-up activities to ensure timely execution.
  • Conduct research, manage special projects, and handle confidential information with professionalism and discretion.
  • Act as an ambassador for leadership values by promoting a collaborative, welcoming, and high-performing workplace culture.
  • Oversee daily office operations, including coordination with building management, vendors, and service providers.
  • Supervise and support reception operations, ensuring a professional and positive experience for employees, visitors, and partners.
  • Provide informal leadership and guidance to executive support professionals by encouraging collaboration, sharing best practices, and improving administrative workflows.
  • Requirements:

    The ideal candidate brings strong executive support experience, excellent organizational abilities, and the confidence to collaborate with senior leaders and diverse stakeholders. Required qualifications and skills include:

    • Bachelor’s degree preferred, or an equivalent combination of education and professional experience.
    • 5+ years of progressive executive support experience, including direct support for a CEO, President, Founder, or senior executive.
    • Proven ability to manage complex calendars, competing priorities, sensitive information, and confidential matters.
    • Advanced proficiency with Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
    • Exceptional written and verbal communication skills with the ability to interact professionally with executives, board members, employees, and external partners.
    • Strong project management, strategic planning, and problem-solving skills with a proactive approach to anticipating needs.
    • Demonstrated ability to prioritize effectively, influence without authority, and drive execution across multiple initiatives.
    • Strong leadership and organizational skills with the ability to coordinate teams and improve operational processes.
    • High level of professionalism, discretion, adaptability, and attention to detail.
