Practice & Outreach Manager Location:Ponte Vedra, FL Practice:Ponte Vedra Spine and Pain Center Position:Full-Time, On-Site About Us Ponte Vedra Spine and Pain Center is a family owned, physician-led interventional pain management and regenerative medicine practice dedicated to exceptional patient care and innovative treatment options. We are growing rapidly and seeking a dynamic, self-motivated professional who can manage our daily operations while also building strong community relationships to drive new patient growth. Position Summary This is adual-role positionthat combinespractice managementwithcommunity outreach and marketing. The ideal candidate will be equally comfortable managing schedules, payroll, and complianceinside the office— and representing our practice with confidenceoutside the officeto referral partners, local businesses, and the community. Key ResponsibilitiesOperations Management • Oversee daily office operations, patient flow, and staff scheduling. • Manage payroll, PTO tracking, and time-off approvals. • Ensure compliance with all certifications, licenses, and healthcare regulations. • Coordinate equipment maintenance, repairs, and vendor relationships. • Maintain high standards for billing accuracy, documentation, and collections. • Conduct performance reviews, training, and staff development. Marketing & Outreach • Build and maintain referral relationships with physicians, attorneys, and local business owners. • Represent the practice at community events, networking groups, and health fairs. • Schedule and conduct regular in-person visits to referral sources. • Deliver and follow up on marketing packets and promotional materials. • Track referral source engagement and report results to leadership. • Develop and execute quarterly outreach and growth plans. Qualifications(Required) • Minimum 3 years in medical office management or healthcare operations. • Proven success in business development, community outreach, or physician liaison roles. • Strong knowledge of medical scheduling, EHR systems, and patient flow optimization. • Familiarity with Florida medical compliance, licensure, and credentialing. • Excellent interpersonal skills — confident, personable, and professional in all settings. • Highly organized, detail-oriented, and able to juggle multiple priorities. • Experience managing budgets, payroll, and vendor contracts. • Proficient in Microsoft Office and CRM or referral tracking software. • Demonstrated ability to generate referrals and increase patient volume. • Comfortable traveling locally for outreach and networking.
