This is a remote position.

Virtual Rockstar is seeking a highly organized and detail-oriented Medical Virtual Assistant to join our partner’s multidisciplinary therapy team based in Maryland. This role is fully remote but requires full-time commitment during U.S. Eastern Time business hours. You will be an integral part of a collaborative care team, supporting Occupational Therapy (OT), Speech-Language Pathology (SLP), and psychological services.

Responsibilities

You will work closely with front office and billing staff to ensure a smooth patient experience, accurate scheduling, and proper insurance handling. Responsibilities include:

Patient & Administrative Support

  • Respond to patient inquiries via phone and email

  • Maintain accurate patient records in compliance with HIPAA regulations

  • Ensure patient privacy and confidentiality at all times

  • Assist in pre-visit organization, ensuring all paperwork and insurance requirements are complete prior to scheduling

Insurance & Billing Support

  • Verify patient insurance coverage

  • Obtain pre-authorizations for procedures

  • Update patient files with accurate insurance information

  • Liaise with insurance providers to clarify coverage and benefits

  • Track and follow up on pending claims and denials

  • Resolve billing discrepancies promptly

Team Collaboration

  • Coordinate with the in-house front desk and billing team to ensure scheduling and billing accuracy

  • Support therapists and administrative staff in managing daily workflows


Requirements

  • Experience in medical administration, preferably in PT/OT/SLP or behavioral health settings

  • Strong understanding of insurance verification, authorizations, and claims follow-up

  • Proficiency with healthcare software and insurance portals (e.g., Prompt, Availity, CareFirst, NaviNet, Humana Military)

  • Excellent communication skills (written and verbal)

  • High attention to detail and ability to manage multiple priorities

  • Reliable internet connection and a quiet, professional remote workspace

  • Experience following up on insurance denials and claim issues
  • Strong phone skills and confidence handling both inbound and outbound patient calls
