This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for a Qualia Administrator / Super User (Real Estate Technology) based in the United States.

This role is a key operational and systems ownership position focused on optimizing and supporting a mission-critical real estate closing platform used across transaction workflows. You will serve as the go-to expert for platform configuration, user support, and process optimization, ensuring smooth and compliant transaction management. Working in a fast-paced, remote-first environment, you will collaborate closely with internal stakeholders to improve efficiency, reduce friction, and enhance user adoption. The position blends technical system administration with hands-on operational support, requiring both analytical thinking and strong communication skills. You will play a central role in configuring workflows, managing permissions, and maintaining system integrity. This is a highly impactful role where your work directly influences transaction accuracy, compliance, and overall business performance.

Accountabilities:

  • Act as the primary subject matter expert for the Qualia platform, supporting users with system-related questions, troubleshooting, and enhancements.
  • Configure, maintain, and optimize workflows, transaction stages, templates, and system settings to align with business and regulatory requirements.
  • Support end users through training, documentation, and ongoing guidance to improve adoption and platform proficiency.
  • Manage user roles, permissions, and data access controls to ensure system security and compliance standards are upheld.
  • Collaborate with cross-functional teams to identify system gaps, streamline processes, and implement scalable improvements.
  • Assist in diagnosing and resolving technical issues, escalating when necessary, and ensuring timely resolution.
  • Create and maintain process documentation, including guides, runbooks, and best practice resources.
  • Requirements:

    • 3+ years of experience as a system administrator, super user, or power user within real estate closing, title, or escrow platforms (Qualia experience strongly preferred).
    • Strong understanding of real estate transaction workflows, closing processes, and compliance considerations.
    • Experience configuring software systems, including workflows, templates, permissions, and integrations.
    • Strong technical aptitude with the ability to understand system architecture, data structures, and process mapping.
    • Excellent communication skills with the ability to translate technical concepts into clear, user-friendly guidance.
    • Proven ability to train and support end users in a structured and effective manner.
    • Detail-oriented mindset with strong organizational skills and a focus on accuracy and compliance.
    • Ability to work independently in a remote environment while collaborating across distributed teams.
    • Experience supporting system implementations or integrations is a plus.
