School Operations Associate

About This RoleAre you ready to make a difference? Parallel is seeking a School Operations Associate to join our team! In this role, you’ll serve as a case manager and care coordinator for students receiving Parallel services through schools. You will support multiple schools at a given time, and work alongside the school implementation team by owning scheduling, and other service logistics. You will be responsible for all operational aspects of service delivery for your assigned schools.Â

- Maintain relationships with individual school sites and their assigned providers, acting as their primary point of contact on all matters related to care delivery (ongoing sessions & assessments)
- Answering client questions and resolving issues as they arise via email and phone in a timely manner
- Fully onboarding school clients
- Create student accounts in our proprietary platform
- Develop and maintaining support service schedules based on school’s needs
- Own & lead tech testing calls for each school site within their assigned district
- Maintain regular, open communication with Parallel Implementation & Customer Success Specialists, to proactively plan for optimum care results and problem-solve potential issues
- Be accountable for upholding a superior quality of care with Parallel services by our school clients, and attaining high satisfaction scores from both schools and providers, as measured by client satisfaction scoresÂ
- Within your market, act as primary coordinator of all cross-functional operations pertinent to your assigned schools, ensuring smooth operations of provider conducting sessions and completing student assessments Â
- Post implementation tasks such as:
- (re-)scheduling appointments as needed
- Uploading client documents to their accounts
- Developing plans for compensatory minutes
- Ensuring IEP deadlines are met
- Utilize an array of proprietary and third-party software to complete your daily tasks
- Understand and apply federal and state requirements regarding family confidentiality and the principles of maintaining protected health information (PHI), such as HIPAA & FERPA
What You’ll NeedÂ
This position is perfect for someone with 1-2 years of experience in Customer Support.
 In addition, you’ll need:
- A bachelor's degree or equivalent work experience
- Professional experience working in administration or operations and working closely with service providers Â
- Previous experience managing standard operating procedures and trainings for cliniciansÂ
- Strong customer service skills and mentalityÂ
- Detail oriented and excellent written communication skills
- Strong process management and improvement skills with a track record of leveraging technology to improve processesÂ
- Tech savvy and able to come up to speed quickly on new systemsÂ
- Bonus points if you have prior experience in a high growth start-up or other fast-paced work environment
- Bonus points if you have knowledge of K-12 special education processes
