This role offers the opportunity to provide high-level executive support to a prominent leader, managing complex schedules, initiatives, and communications across multiple priorities. The Senior Executive Assistant will serve as a strategic partner, ensuring seamless operations, enabling focus on mission-critical projects, and supporting high-impact initiatives in a fast-paced, dynamic environment. You will oversee calendar management, project logistics, travel arrangements, and correspondence while liaising with internal teams and external partners. This position requires exceptional organizational, communication, and problem-solving skills, as well as discretion and executive presence. The environment is collaborative, mission-driven, and innovation-focused, providing exposure to influential initiatives and leaders in technology, AI, and societal impact. Remote flexibility is offered, with a preference for in-person collaboration in the San Francisco Bay Area.

Accountabilities:

  • Manage complex executive schedules, meetings, and travel logistics, ensuring accuracy, timeliness, and alignment with priorities.
  • Act as a gatekeeper and triage point for incoming requests, communications, and strategic priorities.
  • Draft, edit, and send correspondence, reports, and briefing materials on behalf of the executive.
  • Maintain and update CRM systems, tracking contacts, communications, and follow-ups.
  • Coordinate and oversee projects, media appearances, and events, ensuring smooth execution and post-event follow-up.
  • Partner with executive leadership to maintain focus on key initiatives, monitor progress, and unblock priorities.
  • Provide coverage for executive office team members when needed and support cross-departmental collaboration.
  • Requirements:
  • 5+ years of experience as a Senior Executive Assistant, Senior Project Manager, or Chief of Staff supporting C-level executives.
  • Proven ability to manage multiple complex priorities in a fast-paced, dynamic environment.
  • Strong organizational, project management, and multitasking skills.
  • Excellent written and verbal communication with executive presence and the ability to draft in a leader’s voice.
  • Proficiency with software systems including Google Workspace, Slack, Hubspot, and Asana.
  • High emotional intelligence, problem-solving ability, and proactive initiative.
  • Comfortable with ambiguity and able to adapt creatively to evolving challenges.
  • Availability during Pacific Coast working hours with flexibility for high-priority needs.
