This role plays a pivotal part in planning, coordinating, and executing a wide variety of live and virtual events. The Sr. Production Coordinator manages key production elements, including logistics, vendor relations, travel, accommodations, and on-site event operations. Acting as a central liaison between internal teams, clients, and external partners, this position ensures events run smoothly from concept to post-production. The role also provides leadership for small-scale events, supports budget tracking, and maintains detailed documentation of production workflows. With up to 30% travel required, this position offers the opportunity to work in a fast-paced, client-facing environment that values creativity, precision, and collaborative problem-solving. Accountabilities:

Coordinate and manage specific event components such as transportation, meeting room bookings, food and beverage, and talent management.

Oversee venue contracting, including negotiations and concessions, and manage event housing logistics like room blocks, shoulder dates, and attrition.

Handle catering logistics, track food and beverage minimums, and ensure high-quality service delivery.

Participate in creative event ideation, supporting the visual and experiential elements of events.

Lead and delegate tasks to production assistants, registration staff, and other onsite teams.

Source and track props, décor, and vendor costs, maintaining accurate internal tracking systems.

Assist with budget management, invoice processing, and post-event reconciliation.

Travel domestically and internationally to execute on-site event management as needed.

3–5 years of event management experience, preferably in conferences, trade shows, corporate galas, or incentive programs.

Strong knowledge of event industry norms, including venue contracting, housing logistics, catering, and budget tracking.

Excellent computer skills, particularly with Excel, Outlook, and Word.

Onsite team management experience with the ability to collaborate effectively.

Strong organizational, project management, and communication skills.

Ability to thrive in a fast-paced, high-stress environment while maintaining attention to detail.

Flexibility to assist with tasks beyond standard job requirements and adapt to shifting priorities.

Bachelor’s degree preferred.

Competitive starting salary range of $65,000 – $73,945, dependent on experience and qualifications.
