This role plays a pivotal part in planning, coordinating, and executing a wide variety of live and virtual events. The Sr. Production Coordinator manages key production elements, including logistics, vendor relations, travel, accommodations, and on-site event operations. Acting as a central liaison between internal teams, clients, and external partners, this position ensures events run smoothly from concept to post-production. The role also provides leadership for small-scale events, supports budget tracking, and maintains detailed documentation of production workflows. With up to 30% travel required, this position offers the opportunity to work in a fast-paced, client-facing environment that values creativity, precision, and collaborative problem-solving. Accountabilities:

  • Coordinate and manage specific event components such as transportation, meeting room bookings, food and beverage, and talent management.

  • Oversee venue contracting, including negotiations and concessions, and manage event housing logistics like room blocks, shoulder dates, and attrition.

  • Handle catering logistics, track food and beverage minimums, and ensure high-quality service delivery.

  • Participate in creative event ideation, supporting the visual and experiential elements of events.

  • Lead and delegate tasks to production assistants, registration staff, and other onsite teams.

  • Source and track props, décor, and vendor costs, maintaining accurate internal tracking systems.

  • Assist with budget management, invoice processing, and post-event reconciliation.

  • Travel domestically and internationally to execute on-site event management as needed.

  • Requirements:

    • 3–5 years of event management experience, preferably in conferences, trade shows, corporate galas, or incentive programs.

    • Strong knowledge of event industry norms, including venue contracting, housing logistics, catering, and budget tracking.

    • Excellent computer skills, particularly with Excel, Outlook, and Word.

    • Onsite team management experience with the ability to collaborate effectively.

    • Strong organizational, project management, and communication skills.

    • Ability to thrive in a fast-paced, high-stress environment while maintaining attention to detail.

    • Flexibility to assist with tasks beyond standard job requirements and adapt to shifting priorities.

    • Bachelor’s degree preferred.
