This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Staff Scheduling Associate based in the United States.

This role plays a key part in ensuring safe, efficient, and well-coordinated staffing across healthcare units, directly supporting patient care operations. You will work within a centralized staffing environment, helping align caregiver schedules with real-time and forecasted clinical needs. The position requires constant communication with nursing leadership, caregivers, and administrative teams to manage staffing changes and resolve coverage gaps. You will monitor staffing levels, coordinate shift coverage, and respond quickly to call-offs and urgent scheduling needs. Working in a fast-paced, mission-driven healthcare setting, your work will have a direct impact on operational continuity and patient outcomes. The role demands precision, responsiveness, and strong organizational skills. Accountabilities:

  • Monitor and manage daily staffing needs, ensuring appropriate nurse-to-patient ratios and safe coverage across assigned units.
  • Generate and review 24-hour staffing projections and coordinate adjustments based on operational requirements.
  • Communicate with caregivers and leadership to fill open shifts, manage call-offs, and address urgent staffing gaps.
  • Support scheduling of full-time, PRN, and agency staff to maintain adequate unit coverage.
  • Process staffing changes and maintain accurate records using scheduling and timekeeping systems such as Kronos.
  • Conduct lack-of-work procedures in accordance with established staffing policies and SOPs.
  • Collaborate with nursing leadership and administrative teams to review current and anticipated staffing needs.
  • Compile and distribute staffing reports for nursing leadership and management teams.
  • Ensure compliance with scheduling protocols, documentation standards, and internal staffing procedures.
  • Requirements:

    • High school diploma or GED with at least 2 years of customer service or administrative experience, or equivalent combination of education and experience.
    • Associate’s or Bachelor’s degree may substitute for part of the required experience.
    • Strong proficiency in Microsoft Office, particularly Excel, and experience working with databases or scheduling systems.
    • Prior experience in staffing, scheduling, healthcare operations, or workforce coordination preferred.
    • Excellent communication skills with the ability to coordinate effectively across multiple stakeholders.
    • Strong attention to detail, organization, and ability to manage time-sensitive tasks in a fast-paced environment.
    • Ability to handle high-volume communication (phone, text, and digital systems) with accuracy and professionalism.
