Job Description
The temporary Senior Payroll Specialist is responsible for all aspects of payroll administration & HRIS Administration. This is a 2-3 month assignment to assist the Payroll/Finance department at STR during the leave of absence of our current Senior Payroll Specialist. This position is benefit eligible.
Payroll:
- Reviews payroll data, calculations and new hire information including tax information uploaded or entered into the payroll system.
- Responsible for timely and efficient processing of on-cycle & off-cycle payroll.
- Ensures the accurate calculation of all payments processed through audit and review of pre-payroll audit reports.
- Ensures compliance and maintains current knowledge of applicable federal and state employment law regulations.
- Partner & liaise with HR: ensure all new hire paperwork is completed; employee changes are completed; coordinate spot bonus payments
- Respond to various employee inquiries regarding payroll, timesheets, updating direct deposits, W2βs, etc.
- Handles and produces the payroll data to general ledger process as well as the labor distribution process.
- Set up and maintaining garnishment payments in accordance with applicable laws and regulations; providing required information to collecting agencies.
- Liaise with HR Benefits to coordinate accurate pay for employees on leaves of absence including ensuring third-party payments are processed correctly, coordinating use of accrued PTO with employee.
- Conducts new hire orientation & training for employees & managers on completion of timecards, including developing user procedures, guidelines, and documentation.
- Creates all general financial, and workersβ comp audit reports.
- Create & update full cycle payroll checklist, training guide, and DTPβs
- Monitor & consolidate timesheet information; audit & compare timesheets to payroll data to ensure accuracy.
- Timesheets: prorate, post and re-cast (when OT on timesheets
- Assists Payroll Manager with development, implementation and maintenance of payroll procedures and processes.
- Assists Payroll manager to ensure consistent payroll and payroll tax system configuration for federal, state and local law and regulation compliance.
- Assist Payroll Manager in ensuring compliance with regulatory quarterly, annual reporting, and year-end tax filings including W2βs.
Special upcoming projects:
- Assist STR to submit FFCRA & FARPA payroll tax adjustments prior to year-end 2022.
- Assist Payroll Manager in reviewing/amending previous tax adjustments prior to year-end 2022.
- Assist with upcoming bi-weekly pay transition in Jan 2023.
HRIS Responsibilities:
- Oversees maintenance of Payroll and Human Resources systems data.
- Helps maintain data integrity in systems by running queries and analyzing data.
- Import new hires, employee changes including reorganization changes from ADP to Costpoint on a daily basis.
- Updates EE Vendor direct deposit changes in Costpoint.
- Audit & reconciles ADP and Costpoint data.
- Set up new hire profiles for timesheets & setup of backup managers to profiles.
- Ensures data integrity, and analysis and reporting of the data in the HRIS system.
- Maintain leave administration in Costpoint: various banks: including calculating, prorating, posting, and auditing.
- Unlock Costpoint users from service desk emails.
Other skills:
- Familiarity with general accounting principles
- Proficiency with ADP Workforce Now & Deltek Costpoint
- Expertise of Tax Amendments and Payroll adjustments
- Experience in data collection, entry and reporting with great attention to detail and confidentiality
- Solid knowledge of relevant legislation, policies and regulations
- Investigate and resolve any discrepancies in payroll
