This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Workplace Operation Lead, SBN based in Canada.
This role is central to delivering a seamless, high-quality workplace experience across a large, multi-floor corporate campus. You will act as the operational backbone of the onsite and virtual employee experience, ensuring services, spaces, and processes run efficiently and consistently. The position combines service delivery, community engagement, and operational governance within a fast-paced, high-volume environment. You will support employees and visitors while continuously improving workplace systems, tools, and workflows. A strong focus is placed on communication, problem-solving, and cross-functional coordination to maintain an exceptional day-to-day experience. You will also contribute to change management and continuous improvement initiatives that enhance workplace effectiveness at scale. This is a highly visible role requiring autonomy, structure, and strong stakeholder engagement skills.
Accountabilities:
- Provide onsite and virtual operational support for employees and visitors, ensuring smooth day-to-day workplace functioning across multiple platforms and tools.
- Act as a central point of contact for employee and guest inquiries, ensuring timely responses, issue resolution, and escalation where required.
- Manage workplace systems including floor capacity tracking, visitor management, access control, and related operational platforms.
- Oversee employee experience processes including onboarding support, orientation sessions, and communication of workplace guidelines.
- Maintain security operations processes, including access rights, key and locker management, badge requests, and coordination with security teams.
- Monitor, document, and continuously improve operational workflows, ensuring governance, compliance, and consistency of service delivery.
- Coordinate meeting and event logistics, including room bookings, town halls, and internal engagement activities.
- Ensure proper maintenance of workplace facilities by coordinating with building services for cleaning, HVAC, lighting, and related issues.
- Manage supplies, mail distribution, courier services, and general administrative workplace functions.
- Participate in Occupational Health & Safety initiatives and ensure compliance with safety and risk management standards.
- Support change management initiatives and contribute insights to improve operational models and employee experience.
- Undergraduate degree in Business, Operations Management, or a related field.
- Minimum 5 years of experience in workplace operations, facilities, or team leadership within a complex or financial services environment.
- Strong ability to manage multiple priorities in a fast-paced, high-demand environment.
- Solid understanding of operational controls, compliance frameworks, and business continuity practices.
- Experience with workplace systems and tools such as Microsoft Office Suite, Power BI, OfficeSpace, and visitor management platforms.
- Excellent communication skills, both written and verbal, with strong stakeholder management abilities.
- Proven organizational and problem-solving skills with a proactive, service-oriented mindset.
- Ability to work independently while coordinating effectively across teams and floors in a large-scale environment.
