Devine Consulting, LLC is seeking an experienced, proactive Executive and Marketing Coordinator who can manage details and help foster a vibrant, connected workplace.

Summary of Responsibilities:
As the Executive and Marketing Coordinator at Devine Consulting, you’ll serve as the CEO’s right hand — managing her schedule, supporting sales efforts, running office operations, and keeping the team connected. You’ll balance day-to-day priorities like prospect follow-ups, social media content, internal reporting, and event planning.
Your workload will shift depending on the sales pipeline: some days you’ll focus on outreach and scheduling; others you’ll dive into marketing, LinkedIn management, and culture-building. This is a fast-paced, high-trust role where you’ll need to be organized, tech-savvy, proactive, and confident in making decisions independently.
Essential Functions:
• Executive & Office Support: Manage the CEO’s calendar, coordinate meetings, oversee office operations, and handle day-to-day logistics with minimal direction.
• Sales & CRM Management: Track and follow up on sales leads, manage the pipeline and discovery calls using HubSpot, and support client onboarding.
• Marketing & Culture: Create content for blogs and social media, manage LinkedIn presence, and plan monthly team events that foster a fun, connected culture.
• Finance & Reporting: Oversee accounts receivable and payable processes using QuickBooks Online, Anchor, and BILL.com; maintain internal reports and company metrics.
Education, Experience, and Skills Required
• 6–9 years of experience in executive assistant, office management, or marketing roles
• Bachelor’s degree preferred but not required; relevant experience valued most
• Proficiency in Microsoft Office, especially Excel and PowerPoint
• Strong skills in Canva and HubSpot (HubSpot expertise is a big plus)
• Experience managing sales pipelines, CRM systems, and client communications
• Marketing skills, including social media content creation and basic analytics
• Proven ability to manage accounts payable and receivable using QuickBooks Online, Anchor, and BILL.com
• Highly organized with excellent multitasking and project management abilities
• Strong verbal and written communication skills in English
• Tech-savvy with the ability to quickly learn new software and tools
• Discretion and ability to handle confidential information with integrity
Compensation
• Salary: $85,000 per year
• Performance based bonuses: based on client satisfaction and profitability of the company
