Job Description

Position Summary:

We are seeking a self-starting individual to join our company as an Operations Administrator. As part of our operations team, you will assist operationswith all tasks, including data entry, training administration, and scheduling. Collaborate with different operations teams on projects as required, helping manage and organize actions. Our ideal candidate has a wide range of applicable skills, from strong computer proficiency with office productivity suites to attention to detail with data entry tasks. In this role, you may juggle multiple projects simultaneously, necessitating time management, multitasking, and organizational skills.

Job Requirements

  • Preparing and maintaining operations documents and reports.
  • Arranging and assisting with the onboarding of new employees.
  • Assisting with project management by creating assignments, tracking progress, and resolving issues.
  • Performing administrative tasks, such as making travel arrangements, answering phones, scheduling meetings, etc.
  • Managing supplies, keeping track of inventory and ordering safety supplies.
  • Managing and updating company databases. Including EHS & Company Performance metrics.
  • Providing administrative support to other departments or projects as needed.
  • Advise department of trends and proper safety procedures as directed by the EHS Manager.
  • Assist EHS Manager in the administration of the workers' compensation program, including filing claims, updating carrier adjusters & HR, and contacting employees to manage the Return-to-work process.
  • Provide administrative support for our Safety & Operations; including department recordkeeping, training, system, and process management.
  • Responsible for ensuring required trainings are conducted for managers and employees.
  • Administrative duties including taking safety meeting minutes, updating SOPs and tracking employee training requirements.
  • Ensure the completeness and maintenance of all records, documents or reports relating to assigned safety programs.
  • Maintains and updates EHS information (charts, and graphs) via daily, weekly, and monthly emails and reports.
  • Assists in documenting and tracking of operation improvement action plans.
  • Assists with regular inspections of areas throughout the operation to ensure compliance with relevant plant standards.
  • Planning and organizing conferences, events, staff training, and employee engagement activities.
  • Performing other duties as assigned by Operations and EHS manager.


Physical Ability Requirements

  • Must be able to work in and around manufacturing equipment, which includes climbing, bending, stooping, standing, walking, twisting, kneeling, and reaching.
  • Must be able to see / hear to acknowledge alarms, forklift traffic, and perform inspections visually and audibly.
  • Must be able to sustain repetitive movement of the upper and lower extremities with varying degrees of force.


Education and Experience Requirements

  • High school diploma or equivalent education required
  • 2 years of experience as an operations administrator or in a similar position.
  • Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint, Adobe Acrobat, Gmail and Google sheets/forms.
  • Strong organizational and administrative skills.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented with strong analytical and problem-solving skills.
