We are looking for an experienced Executive Assistant to support our Chief Marketing Officer and senior leaders in the marketing organization. In this role, you’ll work directly with Motive’s marketing leaders and be responsible for a mix of administrative and operational activities. The ideal candidate will be proactive, organized, and bring a blend of professionalism, passion and adaptability to the role. This role will report to the Manger, Executive Assistant and be part of our centralized Executive Administration team.
What You'll Do:- Own and proactively manage high-volume calendars.
- Develop an understanding of the marketing organization’s business priorities and structure meeting cadences to support long-term business objectives.
- Total travel and expense coordination, including air and ground transportation, hotel reservations, security, visas and other travel documentation, and expense reconciliation.
- End-to-end meeting and event planning and logistics, including all-hands, offsites, team events and QBRs.
- Proactively prepare agendas and meeting materials for team staff meetings and assist executives to keep priorities on course.
- Leverage strong written, verbal, and interpersonal communication skills to draft and prepare various communications, presentations and materials for internal and external use.
- Assist in day-to-day projects and assignments as needed.
- 4-5 years' previous experience partnering with senior management in a fast paced, innovative environment.
- Excellent organization, meeting planning, and project management skills with the ability to effectively manage multiple high-level and often competing priorities.
- Self-motivated: Demonstrates initiative and anticipates issues, provides realistic solutions, employs sound judgment and makes timely decisions.
- Ability to communicate clearly and effectively with senior leaders and external partners.
- Comfort in learning new technologies to successfully perform assigned tasks.
- High level of confidentiality, discernment, and judgment.
- Strong relationship management skills, with the ability to develop relationships with the EA team, marketing organization and cross-functional partners throughout the company.
- Bachelor’s degree (Preferred Western Degree)
