You will play a key role in planning, coordinating, and executing high-end VIP events designed to strengthen relationships with top-tier clients and support strategic account management initiatives. Accountabilities:
- Plan, coordinate, and execute VIP hospitality events in partnership with account management teams to deliver exceptional customer experiences.
- Manage event logistics including venue sourcing, accommodations, entertainment providers, transportation, and on-site coordination.
- Serve as a key liaison between internal teams, vendors, suppliers, and stakeholders to ensure smooth communication and successful event delivery.
- Maintain and oversee VIP event planning workflows, schedules, and request management processes to improve operational efficiency.
- Develop post-event reporting and analysis, identifying successes, improvement areas, and opportunities to optimize future events.
- Support procurement activities for VIP programs, including sourcing, vendor negotiations, contract management, and payment coordination.
- Monitor hospitality budgets, track expenditures, and prepare financial reports and forecasts while ensuring alignment with company guidelines.
- Build and maintain strong relationships with premium vendors and service providers to secure exclusive offerings and high-quality experiences.
- Manage multiple simultaneous events while proactively resolving challenges and adapting to changing priorities.
- Minimum 2 years of experience in luxury, hospitality, or high-end event planning environments.
- Strong verbal and written communication skills with a professional and customer-focused approach.
- Excellent organizational, multitasking, and project management abilities.
- Experience coordinating cross-functional teams and collaborating effectively with multiple departments.
- Strong analytical skills with proficiency in Excel and budget tracking.
- Familiarity with event management and collaboration tools such as Asana, Salesforce, Splash, or SharePoint is a plus.
- Ability to work under tight deadlines while maintaining attention to detail and high-quality execution.
- Proactive problem-solving mindset with a willingness to innovate and improve event experiences continuously.
- Comfortable working non-traditional business hours, including evenings and weekends when required.
- Ability and willingness to travel approximately 30% for events and hospitality programs.
- Competitive salary ranging from $79,000 to $99,000 USD based on experience and location.
